UNDERSTAND YOUR OPTIONS. PLAN YOUR NEXT STEP.

Give each roof a place in the bigger plan

A roof budget becomes easier to defend when it connects physical condition with business exposure. An older roof over an unoccupied storage area and a newer roof over sensitive production may deserve different priorities. TotalSENS is Sensenig’s roof asset management program, bringing inspections, documented deficiencies, service records and budget tools into one continuing conversation. It helps an owner or facilities team explain the reason for a recommendation rather than presenting an unexplained replacement number.

More to consider

Start by agreeing on the buildings and roof areas included. A campus may have several additions, membrane types and warranty periods even when it looks like one property from the street. Separate those areas in the records. Include installation dates where known, equipment access points and operating constraints. When records are missing, identify the uncertainty rather than assigning an assumed age or condition to every roof. That makes later inspection findings easier to use.

Turn inspection findings into priorities

The published TotalSENS program includes A–F condition ratings, roof drawings, photographs and observations. The grade is a useful summary, but the evidence behind it matters more than the letter alone. Ask which deficiencies are driving the assessment and what recommended work would change the risk. A facilities team should be able to locate an issue on the drawing, understand its observed condition and connect it to an action or monitoring decision.

More to consider

Distinguish a remedial repair from an emergency concern and from a future capital item. This gives purchasing and ownership a clearer authorization path. It also reduces the chance that a small recurring issue is repeatedly handled without reviewing the surrounding assembly. Before-and-after service photographs can document what was addressed. They should remain connected to the affected roof area, work order and expenditure rather than being stored as an unsearchable collection of images.

Connect today’s repairs with tomorrow’s budget

A capital forecast helps plan cash flow, but it is not a fixed promise about roof life or future construction pricing. Review the assumptions behind the timing: current condition, repairs being completed, expected building use and any planned equipment changes. A replacement plan may need to move forward if deterioration accelerates or move through a different sequence when another capital project changes roof access. Keep the forecast connected to current findings.

More to consider

For an annual budget meeting, separate immediate repairs, recurring care and longer-term replacement allowances. Explain what each amount includes and what needs further investigation. A board or owner can make a better decision when it knows which costs are estimates and which are defined proposals. The same approach helps when comparing leased and owned facilities, where responsibility for maintenance and replacement may belong to different parties under the agreement.

Keep the record useful between visits

The customer portal provides a continuing reference for work history, warranty information, drawings and budget reports. This is particularly useful when responsibility moves between managers. Instead of relying on a former employee’s inbox, the next person can begin with the recorded portfolio. Confirm who should have access, who can request service and who authorizes work. Those roles may differ between a facilities department, property manager and building owner.

More to consider

Keep the record current when other trades work on the roof. New rooftop equipment, revised access routes and penetrations can affect the maintenance plan. Provide updates even when no leak has appeared. For an active emergency, call rather than relying only on an online report. The portal supports documentation and continuity; it does not replace immediate communication about water entering occupied areas or hazards affecting people, inventory or production equipment.

Different roof records support different decisions

Condition report

Documents observed deficiencies and roof areas.

Use it to decide what needs investigation or repair.

Service history

Connects completed work, images and expenditure.

Use it to understand recurring concerns and previous action.

Capital forecast

Organizes future investment assumptions.

Use it for budgeting, then confirm a project-specific proposal.

LET’S TALK THROUGH YOUR PROJECT

Start with what you know about your roof

You do not need to diagnose the problem or choose a system before getting in touch. These details help us understand what matters to you.

  • Inventory each building, roof area, known installation date and roof system.
  • Gather existing warranties, repair records and roof drawings.
  • Identify the operations most affected by a leak or interruption.
  • Name the people responsible for portal access, requests and work authorization.

A few questions before you get started

How is TotalSENS different from a single inspection?

An inspection establishes condition at a point in time. TotalSENS connects that information with service records, condition ratings and budget planning, giving you a continuing reference for roof decisions rather than a standalone report.

What can I see in the customer portal?

The published program includes roof drawings, photographs, condition information, budget forecasts, warranty information and past service work orders. It also provides a way to report new service work. Discuss your portfolio and access with the team.

Does maintenance mean we can postpone replacement?

Sometimes repairs can support continued service, but maintenance cannot reverse every form of deterioration. Use the findings to discuss whether continued repairs are reasonable or whether replacement should move into the capital plan.

Are budget forecasts fixed construction prices?

A forecast supports planning. Confirm the scope, assumptions and pricing basis before treating an estimate as a proposal for authorized work. Conditions and project timing can change between budgeting and construction.

How often should our roof be reviewed?

Set the cadence around roof condition, warranty obligations, exposure and building use. Severe weather, leaks or work by other rooftop trades may justify an additional review between planned visits.

Can TotalSENS help with several buildings?

The published program describes portfolio access and roof asset management tools. Discuss the properties and roof areas you want included, how they should be labeled and who needs access. A useful portfolio record preserves differences between buildings rather than treating them as identical assets.

What if we cannot find the original roof records?

Start with the information you have and identify the gaps. Inspection can establish visible conditions, while installation dates, concealed materials and warranty coverage may require additional records or investigation. Missing documents should be noted rather than replaced with assumptions.

Can maintenance records help when facilities staff changes?

Yes. Drawings, photographs, service history and warranty records give the next manager a starting point. Keep building names, roof-area labels and authorization contacts consistent so new staff can connect a current concern to the correct part of the property.
